Sorted Automation is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). This policy applies to sortedautomation.co.za and all forms on this site.

Contact and diagnostic forms

When you submit a form on this site, we collect your name, email address, phone number (optional), business name (optional), and the content of your message.

Page visits

Your IP address is logged automatically by our hosting provider (Cloudflare) as part of normal server operations.

Google Fonts

This site loads fonts from Google's servers. When a page loads, your IP address is transmitted to Google as part of that request. We have no control over how Google processes this data.

We do not use cookies, analytics trackers, or advertising pixels. We do not collect payment information or create user accounts.

3. Why we collect it

Form data — to respond to your enquiry and, where relevant, to arrange and conduct an Operational Diagnostic session. The lawful basis is legitimate interest (responding to a direct enquiry) and contractual necessity (delivering the service you requested). Where you tick the consent checkbox on the form, the lawful basis is your explicit consent.

Server logs — for security and the legitimate operation of our hosting infrastructure.

Google Fonts — for page rendering. This is a standard web practice; no alternative font delivery method is currently in use.

We do not use your information for unsolicited marketing. We do not sell, rent, or trade your personal information to any third party.

  • Form processing services — to route your submission to us and send you an automated confirmation
  • Email hosting providers — to receive and store your enquiry in our inbox
  • Website hosting and security providers — to serve the site and log standard infrastructure data such as IP addresses
  • Font delivery networks — to render the fonts used on this site; your IP address is exposed to these providers on page load

These providers receive only the information necessary for their specific function. They are not permitted to use your information for any other purpose. We do not sell, rent, or trade your personal information to any third party.

6. How long we keep it

Active enquiries and clients — we retain your contact information for the duration of the business relationship and for five years after it ends, to meet our record-keeping obligations.

No engagement — if no business relationship follows from your enquiry, we will delete your contact data within 12 months of receiving it.

Cloudflare server logs — typically retained for 30 days, in line with Cloudflare's standard data handling practices.

Web3Forms — retained per Web3Forms' own privacy policy. Refer to web3forms.com/privacy for their current retention terms.

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Object to the processing of your information
  • Request deletion of your information, where legally permitted
  • Lodge a complaint with the Information Regulator of South Africa

8. How we protect your information

  • All form submissions are transmitted over HTTPS
  • Web3Forms uses encrypted transmission
  • Access to your information is limited to the business owner

While we take reasonable steps to protect your information, no internet transmission is completely secure. We cannot guarantee the absolute security of data sent to or from this site.

We may update this policy from time to time. The "Last updated" date at the top of this page will always reflect the most recent version. We encourage you to check back periodically.
